Room Capacities

  • Breakout Rooms can hold 36 pax with tables and chairs, or 50 with just chairs
  • 6 of the breakout rooms can be opened to make 3 large rooms that can hold 72 pax with tables and chairs, or 100 with just chairs (227 A/B, 103 A/B, 108 A/B)
  • Large auditorium can seat 600 pax with tables and chairs, or 1000 chairs (230)
  • Large Auditorium can be broken into three rooms with the largest holding 350 pax with tables and chairs, or 500 with just chairs (230 A/B/C)
  • Side wings of Auditorium will hold 100 pax with tables and chairs, or 150 chairs (230 A/C)
  • Small Auditorium can hold 100 pax with tables and chairs, or 150 with just chairs (Patriot Auditorium)
  • Training Center classrooms can be used if available for additional breakout rooms
  • Dedicated SIPR room that is in compliance with OPSEC regulation.

Event Planning Considerations

POC Responsibilities and Requests
  • POAM and IPRs
  • Agenda (start and end times, socials, breakout times, lunch rotations)
  • Off-post billeting requirements, tours, MWR trips, etc.
  • Non-DoD Access request (RMTC 190-2)
  • Catering coordination (dates, times, location, post access, menu)
  • DV Suite/Room Assignment Request (to include Robinson and Pike Houses)
  • DV Parking (location, named, type) 
  • Support requirements (escorts/drivers/housekeeping)
  • Registration list scrubs including ranks, titles, flight itinerary, etc.
  • Arrival timelines (ADVON, Main-Body, Follow-on) 
  • Breakout Room Requirements/Requests:
  • Room allocation by configuration and size needs
  • Conference Agenda Alignment (Day/Time/configuration) with space allocated.
  • Secure Brief and SVT agenda/coordination
  • Name Tents/Banners/ Hallway Signs
  • VIP Seating Configuration/ Chair Covers
  • Socials, Catering, Refreshment/coffee:
  • Event POCs are responsible for catering/social coordination (dates, times, location, post access, menu)
  • Coffee necessitates a $5 fee for commercial filters. Event POC provides all other coffee consumables. 
  • Socials with alcohol 
    • MWR is authorized to sell alcohol on post 
    • Mobile bars are available on-site
    • ​POC can coordinate “BYOB” events in-house or at Shiloh Pavilion.
